What does this support look like? 

Support is available to all College of the Arts units looking to create and promote a recruitment or outreach event. Examples of this support can include:

  • Online event registration form - Slate registration is provided through the Admissions and Enrollment Management office. 
  • Website updates - inclusion on Admissions list of events and College of the Arts and/or School web pages
  • Emails (campaigns/ad-hoc/reminders)
  • Designs, flyers, forms, signage, graphics, PowerPoints/slideshows
  • Social media promotion
  • Release forms for your event
  • Reserve IT support for technology needs
  • Cashnet for accepting payments
  • Facility tours 
 

Workflow

  2. Fill out the event request form, linked below.
  3. Someone from the College of the Arts Recruitment and Retention team will contact you.
  4. The Recruitment and Retention team will coordinate with University Admissions and the College of the Arts Marketing and Communications team on deliverables.

University Policy 3342-5-19: On-Campus Activities Involving Minors

University policy 3342-5-19 was enacted in March 2014 to protect minors who participate in university-sponsored programs that occur on a Á½ÐÔÉ«ÎçÒ¹ campus or an off-site location.

The new policy requires background checks and training for all university personnel working with minors, including volunteers; minimum ratios of authorized adults to minors and reporting of suspected abuse.

Who the Policy Applies To

  • Minors - anyone under the age of 18 participating in a university-sponsored program on a Á½ÐÔÉ«ÎçÒ¹ campus who is not enrolled or accepted as a Á½ÐÔÉ«ÎçÒ¹ student.
  • University Personnel/Volunteers - Á½ÐÔÉ«ÎçÒ¹ faculty, staff, student employees and volunteers who supervise, chaperone or otherwise oversee minors at a university-sponsored program or affiliated activities.
  • Program Administrator - The university individual or contractor-approved individual responsible for implementing the program.

Programs and Activities

  • Any university-sponsored day camp, overnight camp, or recruiting camp, as well as residential facilities providing housing for such camps.
  • Any other university-sponsored program or activity involving minors that occurs on a Á½ÐÔÉ«ÎçÒ¹ campus or an off-site location.
  • Exclusions include:  programs otherwise open to the public-at-large such as campus tours, athletic or community events; and the Á½ÐÔÉ«ÎçÒ¹ Child Development Center, which is subject to a separate set of federal and state standards.

Policy Violations

Any violations of this policy will be handled through the Student Conduct Code for university students; faculty, staff, and student employees are subject to disciplinary action up to and including termination.  Volunteers will be subject to loss of their volunteer status.

Background Check

A background check for faculty is required if:

  • The program provides instruction that is considered to be a clinic or camp (day camp or overnight camp) (e.g., clinics such as Saxophone day, Dance Masterclasses/Intensives, Blossom, etc.)

  • The program has an associated cost for attendees (payment for services)

  • The program has a specific audience and is brought to campus for a specific objective (i.e.: a high school art class is brought to campus for an art make & take workshop)

A background check for faculty is NOT required if: 

  • The program is advertised to a larger audience and registration is not explicitly limited (ie: a Discover Day Event or Open House advertised through and registered for via Slate, as all other Admissions events are, and any variety of prospective students can register for it) 

Background checks must be FBI/BCI compliant, and the cost will be covered by the faculty member’s school.

Background checks are valid for 4 years. Annual online training for Child Abuse Prevention is also required yearly. Documentation will be kept on file in the Dean’s office.
